An office move is judged on one thing: whether people can work the next morning. Everything below serves that.

Office moves fail for organisational reasons, not physical ones. The furniture almost always arrives; what goes missing is the plan for where it goes and who reconnects what.

This checklist follows the order that keeps a business trading: decisions first, buildings second, packing third, and the move itself last.

Plan

Six weeks out: decisions

  • Make a floor plan

    Who sits where, with desk numbers. Nearly every moving-day problem traces back to this document not existing.

  • Decide what is not moving

    Broken chairs, old desks and archive boxes cost the same to move as good furniture.

  • Name one owner

    One person who makes decisions on the day and answers the phone.

  • Tell your IT provider

    Network, phones and servers need their own plan and their own timeline.

Three weeks out: buildings and bookings

  • Permits at both buildings

    Commercial towers usually restrict moves to evenings or weekends, and free-zone buildings may need the moving company registered.

  • Book the lifts and loading bays

    At both ends, for the same window.

  • Book the move

    Confirm crew size, truck size and the sequence — usually furniture first, IT last.

  • Plan the downtime

    Which teams work from home, and when the office is officially closed.

Prepare

The last week: labelling

  • Label by desk, not by person

    People change desks; desk numbers on the floor plan do not.

  • Bag each desk's cables

    Labelled per desk, so nobody spends Monday morning hunting for a power adapter.

  • Pack files in order

    By department and in sequence, so cabinets can be refilled quickly.

  • Photograph the IT setups

    A photo of the back of a desk saves fifteen minutes of guesswork per person.

  • Confirm access in writing

    Dates, times, security contacts and parking at both buildings.

On the day

Move outside working hours wherever the buildings allow it — most Dubai commercial towers insist on it anyway. Load furniture first and IT last, so screens and computers spend the least time in transit and are unloaded into a room that is already laid out.

Have the floor plan printed and on the wall at the new office. The crew can then place desks and boxes straight into position instead of stacking everything in a corridor.

The first morning

Get IT to confirm the network, phones and printers before people arrive. Keep a small clear-up crew available for the things that always surface: a desk in the wrong place, a monitor arm that needs refitting, boxes that belong to somebody who was on leave.
